Getting started
Create your owner account, or sign in if you already have one. Follow the setup screens to choose your booking link and enter your business details, first service, and working hours. Check the timezone before you select Complete setup.
If a link name is already taken, choose another and try again. If setup fails, read the message before retrying. Once you reach your calendar, use Settings to review the details below before sharing your page.
Update your public profile and photos
- Open Settings, then Public profile.
- Review your business name, public name, description, phone, and location. Check the address and map coordinates together.
- Select Save changes and wait for the saved confirmation.
- Under Public photos, choose a JPG, PNG, or WebP file up to 8 MB. Add a useful photo description, then select Upload photo.
- Select Feature beside the image you want at the top of the page. You can keep up to eight public photos.
Open the public page to check the crop and descriptions. If an upload fails, check its format, size, and the eight-photo limit before trying again. Appearance changes the Merchant App theme; public photos are managed in Public profile.
Add services
- Open Settings, then Services, and choose to add a service.
- Enter a name clients recognize and a description of what is included.
- Set the duration in minutes, price, and currency. Allow enough calendar time for the whole visit.
- Set the status to Active, then select Create service. When editing a service, select Save changes.
Confirm that the service appears with the intended price and duration. Inactive services remain in your history but cannot be booked. Check existing appointments separately after changing a service; do not assume their agreed details have changed too. The service-menu guide has descriptions you can adapt.
Set availability
Your normal working week
- Open Settings, then Availability.
- Under Schedules, open the schedule you want to edit. Check its timezone.
- Turn on the days you work and enter the start and end of each working period. Leave a gap between periods for a regular break.
- Select Save hours. Under Schedule assignments, check the default schedule and any service-specific assignment.
A service can follow its own assigned schedule. If one service shows unexpected times, check that assignment as well as your default week.
Change one date
Under Date overrides, select Add date override for the relevant schedule. Choose the date and either Closed or Custom hours, then select Save override. This changes that date without rewriting later weeks.
Block a break or time away
- Under Time off, select Add time off.
- Choose the Starts and Ends dates and local times in the timezone shown by the form. Add a private reason if useful.
- Select Add time off and check that the saved period appears.
The end must follow the start. If a time is invalid or repeated because of a clock change, choose a valid local time as the form requests. Time off blocks new bookings; it does not cancel appointments already accepted. Follow the time-off checklist to check both edges of an absence.
Choose your booking limits
Open Settings, then Booking Settings. Review each rule separately and save your changes.
- Minimum notice controls how soon a new booking can start. Use 15-minute increments.
- Booking horizon controls how far ahead clients can book, from 1 to 60 days. Notice must be shorter than this window.
- Start-time interval offers starts every 5, 10, 15, or 30 minutes. It does not add a break after a service.
If you need time to reset your station, include it in your appointment planning. A shorter start interval does not shorten the service. The minimum-notice guide explains the difference with worked examples.
Check and share your page
- Open your public booking link in a private browser window on a phone.
- Check your name, photos, address, service descriptions, prices, and durations.
- Choose a short service and a longer one. Check times you expect to be available, including the last possible start before closing.
- Continue to the details and review steps. A selected time is only held temporarily; the visit is booked when confirmation completes.
If you complete a test booking on your own page, use your own details and cancel it afterward. Once the page is correct, share that public link on your website or social profiles. Keep your owner dashboard URL and clients' private appointment links out of public posts.
Manage bookings
- Open an appointment from your calendar and check the client, service, date, time, and current status.
- To move it, agree a new time with the client first. Open the appointment's change action, labeled Modify on desktop, and save the new time.
- Review any option to notify the client. After saving, reopen the appointment and confirm the updated details.
- To cancel, choose Cancel appointment or Cancel, review the confirmation, and complete the action. Check the resulting status before offering the time again.
A conversation with a client does not update the calendar by itself. If a save fails, keep the existing booking as the reference until you can verify the new state. Send a separate message when needed rather than assuming an appointment notice has been delivered.
How clients cancel or reschedule
Clients open their secure appointment link and verify the email used for the booking to unlock online changes. They can cancel or reschedule a single appointment up to one hour before it starts, including exactly one hour before.
- Open the secure appointment link and verify the booking email.
- Choose Reschedule appointment and select an available date and time.
- Confirm the new time, then check the updated appointment details. The original time stays booked until the change succeeds. If the selected time is taken before confirmation, choose another available time.
Rescheduling keeps the same professional, services, duration, and price. To change the service, get help when no suitable time is available, or request a change after the cutoff, contact the professional directly.
A requested notice period in your business policy is separate from this online cutoff and from minimum notice for new bookings. Use the cancellation-policy template to explain those differences. If a verification message is missing, check the booking email and spam folder, then contact the professional for appointment help.
Confirmations, reminders, and missing messages
The confirmed appointment page is the place to check the current visit. Keep its private link. Appointment messages may repeat those details or communicate a cancellation or a move made by the owner. A missing message alone does not tell you whether a booking succeeded.
- Open the appointment and check its current status, date, and time.
- Check the email supplied for that booking and look in the recipient's spam folder.
- If you need to communicate a change, contact the client directly and verify that the appointment itself is updated.
- For repeated missing messages, email support with the appointment reference and approximate time of the problem. Do not include its private link or verification code.
Message availability depends on the delivery service. The Merchant App does not offer channel selection, a reminder-time control, or a message editor. Contact support@beesolo.app to confirm which messages and timing are available for your account. Do not assume SMS or WhatsApp is enabled because a phone number is saved.
Keep client details and notes useful
Open Clients, find the person, and open their profile. Review the preferred name, email, and phone number before editing. Save a short private client note for preferences you want to remember across visits. An appointment note relates to one visit and is separate from that client note.
Check possible duplicates before changing the wrong record. Keep notes factual and relevant to the service. General booking notes are not a medical intake system or a place for sensitive health information. Updating preferred contact details does not prove that an earlier appointment message was sent to the new address.
Why a booking time is missing
Start from the exact service and date the client selected. Check these items in order rather than changing several rules at once.
- Service status and duration. It must be active, and the entire visit must fit before closing or the next occupied period.
- Schedule assignment. Check the service's own schedule if it has one, then the default schedule and timezone.
- Date exceptions. Look for a closed date, replacement hours, or time off.
- Occupied times. Existing appointments and temporary reservations can remove an opening.
- Booking limits. Check minimum notice, the advance-booking horizon, and the offered start interval.
Try a short service and a longer one on the same date. If only the shorter one fits, changing notice will not create more room. If the public page itself is unavailable, check that setup is complete, an active service exists, and your subscription allows scheduling. Contact support if those checks do not explain the result.
Check your subscription and access
Open Settings, then Subscription to review your plan, access status, and any trial or billing dates shown for your account. Read the displayed offer before starting or changing a subscription. The pricing page describes the public plan.
Use Manage billing or Recover billing when available. If billing management is unavailable, or scheduling access is restricted and the next step is unclear, contact support. Repeating a booking attempt will not resolve an access restriction.
Contact support
Email support@beesolo.app from your account email. Include the page you used, what you expected, what happened, and the exact error wording. For a missing time, include the service, date, and timezone. Crop client information out of screenshots. Never send a password, verification code, or private appointment link.
