"Please respect my time" is understandable, but it is not much help to a client who needs to move Friday's haircut. They need to know how much notice to give, how to request a different time, and what to do if online cancellation has closed.
Write those answers before you write a warning. The template below is for a solo salon or barber who wants a clear, fee-free policy. It also covers the awkward part that many policies skip: what happens when you need to change the appointment.
A cancellation policy you can adapt
Replace the bracketed details and choose a notice period you can explain consistently. This example asks for 24 hours. That is a business preference for this template, not a universal requirement.
Changes and cancellations
Please give at least 24 hours' notice if you need to cancel or move your appointment. That gives me a chance to offer the time to another client. To cancel or reschedule a single appointment online, open the appointment link in your confirmation and verify your booking email. Online changes are available up to one hour before the start. To reschedule, choose an available time and confirm it. The services and price stay the same. For service changes, help finding a suitable time, or help after the cutoff, contact me at [business phone or contact route]. Include your name and the date and time of your visit.
If you are running late
Please contact me as soon as you can with your expected arrival time. I will tell you whether we can still complete the service or need to arrange another appointment. If you cannot attend
Please let me know, even if it is close to the appointment. If something unexpected has happened, contact me when you can and we will discuss the next step.If I need to move your appointment
I will contact you using your booking details and help arrange another suitable time.
Put a real contact method in the finished version. A beautifully worded policy that ends in "contact us" is incomplete if the client cannot find how.
Use Copy text under the template, or download the plain-text policy. Replace the contact route and requested notice before publishing. Re-read the short version wherever you use it so it agrees with the full policy.
Separate the notice you request from the online cutoff
You may ask for 24 hours because you want time to offer the slot again. Your booking software may allow a client to cancel online much closer to the visit. Explain both if they differ.
In beesolo, clients verify their booking email through their secure appointment link to cancel or reschedule a single appointment online up to one hour before the appointment. Rescheduling lets them choose an available time while keeping the same professional, services, duration, and price. The original time stays booked until the change succeeds. For service changes or help after the cutoff, they contact the professional, who can make an agreed change in the Merchant App. The online change cutoff is separate from minimum notice for a replacement time or a new booking. For a Friday appointment at 2 pm, the distinction is:
Scroll sideways to see the full table.
| Rule | What the client should understand |
|---|---|
| You request 24 hours' notice | Please tell me by 2 pm Thursday where possible. |
| Verified online changes close one hour before | You can cancel or reschedule online through 1 pm Friday, including exactly 1 pm. |
| You want a different time | Verify your booking email, choose an available time, and confirm the change before the cutoff. |
| You need a different service or help after the cutoff | Contact the professional directly. |
A short addition for this setup is:
Please give 24 hours' notice where possible. Open your appointment link and verify your booking email to cancel or reschedule a single appointment online up to one hour before the start. Rescheduling keeps the services and price the same. For service changes or help after the cutoff, call [business number].
Avoid "cancellations are impossible after 1 pm". The online route closing does not mean someone can physically attend, and you still need to hear from them. See the minimum booking notice guide if you are setting rules for new bookings instead.
Write a short version people will read
The full policy belongs wherever you explain appointments. A shorter version is useful in a confirmation message or direct reply:
Need to move your visit? Please give 24 hours' notice where possible. Open your appointment link, verify your booking email, and choose Reschedule appointment to select and confirm an available time up to one hour before the start. The services and price stay the same. Contact [business number] if you need help or want to change the service.
Keep the requested notice and contact route consistent across your booking information, messages, and social profile. Introduce the policy before someone books. A reminder should point to the arrangement they already saw, not surprise them with a new condition.
If you choose a different notice period, replace it everywhere. "The day before" and "24 hours before" are not interchangeable. A Thursday-night message is the day before a Friday-morning appointment, but it gives much less than 24 hours.
Reply to the situation in front of you
A policy saves you from writing under pressure. It does not require a cold response.
Someone says they will be 15 minutes late
Thanks for telling me. What time do you expect to arrive? I have another appointment at [time], so I will check whether there is enough time for your service.
Then make the decision from the time needed, not from a blanket promise to "fit them in". A rushed colour service and a shortened consultation have consequences for the work.
Someone cancels late
Thanks for letting me know. Your appointment for [date and time] is cancelled. When you are ready, you can choose another time at [public booking link].
Send this wording once you have actually cancelled the booking. If you are still processing the request, say "I have received your message" instead.
Someone misses the appointment without contact
Hi [name], we missed you at [time] today. I hope you are okay. Please contact me before arranging another visit so we can check what happened.
This leaves room for a genuine mistake or emergency. If missed appointments keep happening, have a direct conversation about future booking arrangements rather than adding harsher wording for every client.
You need to rearrange the visit
Hi [name], I need to move your appointment on [date] because [brief explanation]. I can offer [option one] or [option two]. Please tell me whether either works, and I will confirm the change.
Only offer times you can still reserve. If neither works, acknowledge the inconvenience and find another option together.
Keep fees out unless you have a separate process
This template does not introduce cancellation charges or deposits. A sentence in a policy does not collect a payment. If you want to charge fees, that needs a separate review of the terms and payment process before you put it in front of clients.
For a fee-free policy, the practical next step is smaller. Save the wording, check your contact details, and review the email verification, cancellation, and rescheduling options on a client's confirmation link without changing a real visit. Then use the no-show guide to work out whether missed visits come from unclear details, difficult changes, or something else.
